Privacy Policy
This Privacy Policy explains how Rovmere Solutions ("Rovmere Solutions," "we," "us," or "our") collects, uses, shares, and protects personal information when you visit rovmere.com (the "Website"), fill out our consultation form, book a consultation, chat with us on the Website, call us, or exchange text messages or emails with us. Rovmere Solutions is a sole proprietorship owned by Zachary Tasman, based in the United States.
We have tried to write this in plain English. If anything is unclear, please contact us using the details at the end of this policy.
1. Who this policy covers
This policy covers personal information about visitors to our Website, people who contact us or book a consultation, and the business owners and staff we work with.
Rovmere Solutions also sets up and manages automation and AI systems (such as phone assistants, text and email follow-up, booking calendars, and customer records) for our clients' businesses. When we handle information about our clients' own customers inside those systems, we do so on our client's behalf and following their instructions. In that case, the client's own privacy policy applies, and questions or requests about that information should go to that business first. We will help our clients respond.
2. Information we collect
Information you give us
- Consultation form: your name, business name, and email address (required); your phone number and website (optional); and any message you write about what you would like help with.
- Your consent choices: whether you agreed to be contacted about your inquiry, whether you separately chose to receive marketing messages, whether you agreed to receive text messages, and the date, time, and method of that consent or any opt-out.
- Booking calendar: the consultation date and time you choose, your contact details, any notes you add, and any changes or cancellations.
- Website chat: the messages you send in the chat window and any details you choose to share, such as your name, email, phone number, and what you need.
- Phone calls, texts, and emails: your phone number or email address, the content of your messages, and call details such as the time and length of a call. Where call recording or transcription is used, this also includes the recording or transcript (see section 5).
- Client information: if you become a client, the information needed to deliver and bill for our services, such as business contact details, account access you choose to give us, signed agreements, and payment records. Card and bank details are entered with our payment processor; we do not store full card numbers.
Please do not send sensitive information, such as passwords, full payment card numbers, Social Security numbers, or health information, through our form, chat, or text messages.
Information collected automatically
When you use the Website, our Website tools and their providers may automatically collect technical information such as your IP address, browser and device type, pages viewed, the page that referred you, and the date and time of your visit. This happens through cookies, local storage, and similar technologies (see section 7).
Information from other sources
We may receive information about you from someone who refers you to us, or from publicly available business sources such as your business website or business listing, when you have contacted us or asked us to look at your setup.
3. How we use information
- To respond to your inquiry and answer your questions.
- To schedule your free consultation and send confirmations, reminders, and rescheduling messages.
- To prepare a quote or proposal if you ask for one, and to follow up on it.
- To deliver, support, and bill for services if you become a client.
- To send marketing or promotional messages, but only if you have separately agreed to receive them. You can opt out at any time.
- To keep records of your consent and opt-out choices so we can respect them.
- To keep the Website and our systems secure, prevent misuse, fix problems, and understand how the Website is used so we can improve it.
- To comply with legal obligations and to protect our rights and the rights of others.
We do not use your personal information to make decisions that produce legal or similarly significant effects about you based solely on automated processing.
4. Consent, marketing, and email
Agreeing to be contacted about your inquiry and agreeing to receive marketing are separate choices. On our consultation form, the marketing consent checkbox is optional and is not checked by default. You can submit the form and book a consultation without agreeing to marketing.
Marketing emails from us will identify Rovmere Solutions, include our postal address, and include a way to unsubscribe. Unsubscribing from marketing does not stop messages that relate directly to an active inquiry, a booked consultation, or a client project.
5. AI assistants, website chat, and call recording
Some of our communications are handled by automated tools, including AI:
- Website chat: the chat window on our Website may be answered by an automated AI assistant. It can answer general questions about our services, collect your details, and help you book a consultation. It will tell you it is automated if you ask, and it can pass your conversation to Zachary Tasman to follow up personally.
- Phone: if we use an automated phone assistant to answer calls, it will identify itself as automated and can take a message, arrange a callback, or pass the call to a person.
- Accuracy: automated replies are general information. They are not a binding quote, an agreement, or professional advice, and they can contain mistakes. A person reviews conversations and follows up where needed.
- Call recording and transcription: where we record or transcribe calls (for example, so an automated assistant can understand a caller or so we can review a call), we will tell you at the start of the call. If you do not want to be recorded, you can end the call and contact us by email instead. Recordings and transcripts are used to respond to you, keep accurate records, and improve the quality of our service.
Chat messages, call details, recordings, and transcripts are stored in our customer management platform (see section 8) and handled under this policy.
6. Text messages (SMS)
This section explains the Rovmere Solutions text messaging program.
- How you opt in: you may agree to receive text messages from Rovmere Solutions when you provide your mobile number and check the text message consent box on our consultation form, when you text us first, or when you otherwise tell us you want to receive texts. We only text you if you have agreed.
- What we send: messages about your inquiry and consultation, such as replies to your questions, booking confirmations, appointment reminders, rescheduling messages, follow-up about a quote or proposal you requested, and customer care messages if you are a client. We send marketing or promotional texts only if you have separately agreed to receive them.
- Message frequency varies. How many messages you receive depends on your inquiry and appointments.
- Message and data rates may apply. Your mobile carrier's standard rates apply to messages you send and receive.
- To opt out, reply STOP to any message. You will receive one final message confirming that you have been unsubscribed, and we will not send you further texts unless you opt in again. You can also opt out by contacting us using the details below.
- For help, reply HELP to any message, or contact us at [email protected] or (413) 301-2667.
- Consent is not a condition of purchase. You do not have to agree to receive text messages to book a consultation or buy any service from us.
- Mobile carriers are not liable for delayed or undelivered messages.
Mobile information and SMS opt-in consent will not be shared with or sold to third parties or affiliates for marketing or promotional purposes. All other categories of sharing described in this policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties, except service providers that help us deliver text messages (such as our messaging platform and carriers), who may use it only to provide that service to us.
7. Cookies, local storage, and similar technologies
Our consultation form, booking calendar, and website chat are provided through HighLevel (also known as LeadConnector). These tools use cookies, browser local storage, and similar technologies to work properly. For example, the chat widget stores information in your browser so it can keep your conversation open as you move between pages and recognize a returning chat session, and the form and calendar use them to load, submit, and secure your entries. These technologies may also record basic usage information, such as the page you were on when you used the form or chat.
We do not use cookies to sell your personal information or to show you targeted advertising across other websites. If we add analytics or advertising tools in the future, we will update this policy first.
Our consultation form is protected by Google reCAPTCHA to prevent spam and abuse. reCAPTCHA collects hardware and software information, such as device and application data, and sends it to Google for analysis. Your use of reCAPTCHA is subject to the Google Privacy Policy and Google Terms of Service. Our forms may also use Cloudflare Turnstile, a similar spam check that processes device and browser signals and is subject to the Cloudflare Privacy Policy.
You can block or delete cookies and local storage in your browser settings. If you do, the chat, form, or booking calendar may not work properly. You can still contact us by email or phone instead.
Some browsers send "Do Not Track" or Global Privacy Control signals. Because we do not sell or share personal information for targeted advertising, there is nothing further for us to switch off when we receive these signals, but we treat a Global Privacy Control signal as a valid request to opt out of any sale or sharing.
8. Who we share information with
We do not sell your personal information, and we do not share it for cross-context behavioral (targeted) advertising. We share personal information only as follows:
- Service providers who help us run our business and must use the information only to provide services to us. These include: our customer management, website form, booking, chat, and messaging platform (HighLevel / LeadConnector); calendar providers; email delivery providers; phone, text messaging, and telecommunications carriers; AI service providers that power automated chat and phone features; payment processors; e-signature and document tools; and website hosting and IT providers.
- Legal and safety reasons: when required by law, subpoena, or other legal process, or when we believe disclosure is needed to protect the rights, property, or safety of Rovmere Solutions, our clients, or others.
- Business transfers: if the business is sold, transferred, or reorganized, personal information may be transferred as part of that transaction, subject to this policy.
- With your permission: in any other case where you ask us to or agree that we may.
This sharing is always subject to the text messaging commitment in section 6.
9. How long we keep information
We keep personal information only for as long as we need it for the purposes described in this policy:
- Inquiries and consultations that do not lead to work are kept for as long as reasonably needed to respond, follow up, and keep a record of our conversation, and then deleted or anonymized.
- Client information is kept for the length of our relationship and afterward for as long as needed to meet legal, tax, accounting, and contract obligations and to resolve disputes.
- Opt-out and consent records are kept for as long as needed to honor your choice and to show that we have done so.
- Call recordings, transcripts, and chat logs are kept only for as long as they are useful for responding to you, quality review, and record keeping.
You can ask us to delete your information sooner (see section 11).
10. Security
We use reasonable administrative, technical, and physical safeguards to protect personal information, such as access controls and using reputable service providers. No website, transmission, or storage system is completely secure, so we cannot guarantee absolute security. If we learn of a security incident that affects your personal information, we will notify you where required by law.
11. Your privacy rights
Depending on where you live, including in states such as California, you may have the right to:
- Know and access the personal information we have about you, including the categories of information, where it came from, why we use it, and who we share it with.
- Get a copy of your personal information in a portable format.
- Correct inaccurate personal information.
- Delete personal information we have collected from you, subject to some legal exceptions.
- Opt out of the sale or sharing of personal information and of targeted advertising. We do not sell or share personal information for these purposes.
- Limit the use of sensitive personal information. We do not use sensitive personal information for purposes that would require this.
- Not be discriminated against for exercising any of these rights.
We will honor these requests from any person, regardless of the state they live in, as far as we reasonably can.
How to make a request: email [email protected] or call (413) 301-2667. We will need to verify your identity, usually by matching information you give us with information we already have. You may use an authorized agent to make a request for you; we may ask for proof that the agent is authorized. We will respond within 45 days, or within the time required by the law that applies to you.
Appeals: if we decline your request, you can appeal by replying to our decision or emailing us with "Privacy Appeal" in the subject line. We will respond to your appeal within the time required by law. If you are not satisfied, you may contact your state attorney general.
Marketing and text messages: you can opt out at any time by using the unsubscribe link in an email, replying STOP to a text, or contacting us.
12. Children's privacy
Our Website and services are meant for business owners and adults. They are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has given us personal information, please contact us and we will delete it.
13. Links to other websites
The Website may link to other websites and services, such as third-party platforms we mention. We are not responsible for their privacy practices. Please read their privacy policies.
14. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will post the updated version on this page and change the effective date above. If we make a significant change to how we use personal information, we will give more prominent notice, such as a notice on the Website or an email, before the change takes effect.
